The tent is already in the cart. A day later you remember the beach flags. Then a display wall and entrance signage get added. Each product has its own file and can have its own lead time. And that's exactly how a simple event order turns into several separate things to keep track of.
It doesn't have to be this way. Before you start adding products to the cart, sort out three things: what the space actually needs, which set of products covers those needs, and which item has the longest lead time — and therefore marks the point by which you need to start ordering at the latest.
Step 1: Start with the event, not the products
Before you open the catalogue, establish four things:
– the date of the event,
– the installation or event start deadline — i.e. the moment materials need to be ready to use,
– the location and how it will be used (outdoor or indoor, one day or a longer display),
– whether the materials need to come back for another event, or this is a one-off.
Only this gives you a basis for choosing products — not the other way round.
Step 2: Build the set around what it needs to do
Instead of browsing the shop's categories one by one, think about what each part of the space needs to do:
|
Need at the event |
Think about |
|
Visibility from a distance |
beach flags, flags, banners |
|
Backdrop / stand branding |
display walls, roll-ups |
|
Directing footfall |
A-boards, signage, beach flags |
|
Marking off an area |
barrier covers |
|
Conversation / rest area |
seating, tents, parasols |
Categories in the shop: Beach Flags, Custom Printed Banners, Exhibition & Promotional Display Walls, Roll-Up Banners, Advertising Totems, A-Boards & Promotional Arches, Printed Advertising Covers & Screens, Branded Seating, Promotional Tents, Custom-Printed Event Parasols
You can settle the concept, key visual and colour palette for the whole set once — but each product has its own format, die-cut template and separate production file. Before you start preparing artwork, check the specification for the specific product.

Step 3: Check 4 things before you click "order"
The standard lead time is 4–5 working days, but it varies depending on the product and configuration — for printed products, the lead time is counted from the moment the order is paid for and correct files are provided. First check which product in your set has the longest lead time, and count your schedule back from that one, adding transport time.
– Checked the longest lead time in the set + transport time
– Correct variants and quantities for each product
– A separate, correct production file for each item
– Aware that for printed products, the lead time is counted from payment and delivery of correct files
